The most common written form, whether faxed, mailed or Emailed, is undoubtedly the letter. And although it may sound boring or difficult, writing model letters is actually fast and satisfying, since each section has a specific and unchanging function. Generally, model letters include these parts:
Introduction : Hook your readers through a personal or provocative first sentence, then provide a compelling action-oriented statement. That way, your readers will already have consumed the nut of your message, even if he or she puts the letter down or skims the rest.
Body : Elaborate on your main point through facts, examples, and other details. The trick here is to create a compelling and logical structure to keep your readers reading.
Conclusion : Make future plans and mention enclosures unless you’ve mentioned them earlier.
The next section features common letter models, starting with the most agonizing one of all — responses to complaints.
